Registration Mechanisms for Postgraduate Studies

The University Council sets the application and enrollment deadlines, in line with the announced registration periods in August and January.

  1. Online Application: The application period for registration opens first online via the postgraduate registration link on Helwan University's website.

  2. Document Upload and Confirmation: Applicants must upload all required registration documents and then print the confirmation form.

  3. In-person Submission: Applicants are required to submit their original documents to the faculty, including employer approval, along with the printed online application form.

  4. Completion of Required Documents: All necessary documents must be completed as required by the Faculty and University Postgraduate Studies Administration.

  5. Interviews and Admission Tests: Applicants must successfully pass the personal interview and admission tests specific to their specialization, according to the dates announced by the Faculty's Postgraduate Studies Administration.

  6. Departmental Council Approval: Obtaining approval from the relevant Departmental Council is mandatory.

  7. Additional Departmental Requirements: The relevant Departmental Council may add other requirements deemed necessary for admitting new students and may limit the number of accepted students based on the available resources within the department and faculty.

  8. Single Enrollment Restriction: In accordance with the University Organization Law, a postgraduate student may not register simultaneously for more than one diploma or academic degree (Master's or Doctorate).

  9. Nursing Experience Requirement: Applicants must have completed at least one year of nursing practice following their internship year.

  10. English Language Proficiency: Applicants must fulfill the university's English language proficiency requirements: a minimum score of 450 for Master's and 500 for Doctorate from the Faculty of Arts, Helwan University only. This is a mandatory condition for registering the research plan for applications submitted after January 2019.

Protocol (Research Plan) Registration Process

 

  1. Submit a request to the Head of Department for the appointment of supervisors, accompanied by a copy of the Departmental Council's resolution.

  2. Submit a request to the Head of Department for the formation of the hearing committee, accompanied by a copy of the Departmental Council's resolution.

  3. Submit a request to the Head of Department for the approval of the protocol plan and thesis title in both Arabic and English, accompanied by a copy of the Departmental Council's decision.

  4. Complete the hearing committee form, ensuring it is signed by the Head of Department.

  5. Submit all three requests, along with the respective Departmental Council resolutions, to the Postgraduate Studies Department.

Ethics Committee Process

 

  • Submit a request to the Head of Department and a separate request to the Vice Dean for Graduate Studies to initiate the Ethics Committee review process.

  • Pay the Ethics Committee fee of EGP 400.

  • Provide the committee officer with four (4) complete copies of the protocol, presented in both Arabic and English.

  • Ensure at least one supervisor's signature is present on the protocol's cover page.

  • Include a copy of the decision/minutes from the departmental-level hearing committee.

Mechanisms Ensuring Equitable Supervision Distribution

  1. Supervisory workload for each faculty member shall be assessed, and nominations for supervision shall commence with those bearing the least burden, progressing to those with a greater burden.

  2. When nominating supervisors, preference shall be given to faculty members who have not been assigned supervision in the preceding distribution, provided this does not compromise the overall supervisory capacity of the faculty.

  3. Lecturers are permitted to co-supervise Master's and Doctoral theses/dissertations, ensuring that the number of lecturers does not exceed the number of Professors and Assistant Professors on a single supervisory committee.

  4. The number of co-supervisors for Master's theses shall not exceed three, and for Doctoral dissertations, it shall not exceed five. The minimum number of supervisors for both Master's and Doctoral degrees is two.

  5. External supervisors from outside the faculty or university may be engaged if their specialized expertise or experience is required, or if there is an insufficient number of faculty members within the department coupled with a high number of registered students.

  6. Students shall submit a request proposing one faculty member from the department as the primary supervisor, in accordance with Postgraduate Studies Council Resolution (315) dated January 8, 2007. This must not contravene the established regulations governing the equitable distribution of theses/dissertations among departmental faculty members.

  7. Nominations shall be presented to the Departmental Council. Student nominations shall be considered, ensuring that at least one of the proposed names is included if it is not feasible to accept all nominated supervisors.

  8. Supervision appointments shall be approved by the Departmental Council. Nominated supervisors shall be notified of their appointment, the student's name, and the degree program they are enrolled in. The student shall also be informed of the names of their supervisory committee members.

  9. The supervisory committee shall collaborate with the student from the selection of the research topic through to the thesis/dissertation defense and approval.

  10. Periodic progress reports on the student's research activity shall be prepared every six months by the supervisors and submitted to the Head of Department and the Vice Dean of the Faculty. Should a student fail to demonstrate satisfactory progress, and based on the supervisors' recommendation, a first and then a second warning shall be issued. Registration may be revoked if no significant progress is made in completing the thesis/dissertation.

Monitoring Approaches for Postgraduate Students

1. Monitoring by Academic Advisors during the Preliminary Study Period, through:

  • Holding regular meetings between students and their academic advisors to discuss student-specific issues and aspirations.

  • Academic advisors empowering postgraduate students to utilize various knowledge resources.

  • Coordinating with the Faculty's Library Administration to ensure the availability of essential scientific references.

  • Guiding students on how to commence the preparation of their research plan.

2. Monitoring Postgraduate Students during the Preparation of Scientific Theses/Dissertations by the Thesis/Dissertation Supervisory Committee, through:

  • Guiding students in preparing their research plan and ensuring its approval by the relevant councils.

  • Directing the student to complete the various sections of the scientific thesis/dissertation.

  • Preparing quarterly and semi-annual reports to assess the students' progress in completing their scientific theses/dissertations.
